EU contacts & authority

If Vexa has an EU establishment (e.g., main establishment in Portugal), the lead supervisory authority is CNPD (Portugal) under GDPR's one-stop-shop. If Vexa has no EU establishment, the one-stop-shop does not apply; we will appoint an EU Article 27 representative (with address listed here), and relevant EU/EEA authorities remain competent.

What we process

Account

name, email, company, billing info, plan, usage metrics.

Meetings (processor)

meeting metadata, transcript text, speaker labels (if provided), timestamps, and meeting audio recordings. Recording is on by default; send recording_enabled: false on the bot request to run a meeting without one.

Meeting audio is sent to Cloudflare Workers AI to produce the transcript — see /legal/subprocessors.

Calendar (processor)

If you connect a calendar, the event title, start and end time, organiser and attendee email addresses, and meeting join link for events in the calendars you select. We read only; we never write to, modify, or delete anything in your calendar.

Website/analytics

cookie identifiers, pages, device, referrers; for signed-in users, linked to your account by an internal ID (never your email) so we can see which pages lead to sign-ups and usage.

Google user data

Vexa's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We use Google Calendar data for one purpose: to show your upcoming meetings and to send the meeting bot to the ones you have asked it to join. We do not transfer Google user data to third parties except as necessary to provide that feature, and we do not use it for advertising, for training generalised AI models, or for human review except with your explicit consent, to comply with law, or for security. You can disconnect a calendar at any time from the Meetings panel, and doing so deletes the stored authorisation.

Analytics cookies

Google Analytics 4 and PostHog measure page views without analytics cookies before you choose and after you decline. This limited measurement does not attach your account ID; the services receive network information and PostHog uses a temporary server-generated identifier. Accepting enables analytics cookies and links subsequent activity to your account when you sign in, using an internal ID, never your email. You can withdraw cookie consent at any time. See /legal/cookies for what this means and how to opt out. We run no marketing or advertising cookies.

Retention

Transcripts & recordings

retained until deleted; not backed up for your restoration; we may delete for safety/abuse/space.

You can delete any meeting yourself, including a completed one with its transcript and recording, through the API (DELETE /meetings/…); copies in backups expire under our retention policy. To erase your whole account, email info@vexa.ai and we complete it within 30 days.

Account & billing

as long as you have an account + statutory periods.

short operational windows or as required by law.

Children

Service is 18+. We do not knowingly process children's data.

International Transfers

Hosting is in Seattle, Washington, USA (Akamai Connected Cloud / Linode, region us-sea). We do not currently offer EEA or UK hosting, so meeting data, transcripts, recordings and account data are stored in the United States. Speech-to-text is performed by Cloudflare Workers AI on Cloudflare's global network. Where vendors are outside the EEA/UK, we rely on SCCs and supplementary measures.

Access, rectify, erase, restrict, object, portability, and withdraw consent. Contact: info@vexa.ai. You may lodge a complaint with a supervisory authority.
